How HCI Sports & Fitness turned one huge facility into self-serve check-in
A single, massive Austin facility — group classes, open gym, and multiple sports areas — gave members a wallet pass they tap themselves in with, so no one waits on the front desk.
Customer story · Large single-site facility · Apple Wallet & Google Wallet
HCI Sports & Fitness isn't a chain — it's one destination in Austin big enough to be several venues under one roof. A member's visit might move from a group class to open gym to one of the facility's sports areas, and each of those is its own point of entry.
At that scale, every access point that runs through a staffed desk becomes a bottleneck. During peak hours, checking members in by hand means lines — people waiting to be looked up before they can start their workout, their class, or their game.
What HCI did
HCI gave members a digital wallet pass they add once and use to check themselves in anywhere in the facility. Instead of stopping at a desk, a member taps or scans and goes — at a class, at open gym, at a sports area. The credential lives in Apple Wallet and Google Wallet, so it's already on the phone or watch they carry.
The reason it worked is the reason it's simple: it takes work away rather than adding it. Members don't download anything or wait for anyone. And because the pass is self-serve at every touchpoint, the front desk stops being a checkpoint and becomes a place for real help.
What changed
- No waiting on the front desk. Members check themselves in with a tap and head straight to whatever they came for.
- Self-serve at every access point. One pass covers classes, open gym, and the sports areas — not a different process for each.
- Faster entry at peak. Lines at the desk stop forming when check-in doesn't depend on a staff member.
- Staff freed for members. The team spends time helping people, not looking up accounts.
- Works on any phone. Apple Wallet and Google Wallet both, so every member is covered.
For a facility where a single visit can touch several parts of the building, self-serve check-in isn't a nice-to-have — it's the difference between a smooth arrival and a queue. HCI chose VRSE Pass because it gave members the easiest possible way in, everywhere in the building, without waiting for anyone.
Frequently asked questions
Can members check in at more than one point in the building?
Yes. Members use the same wallet pass to check themselves in wherever access is needed — group classes, open gym, and the facility's sports areas — without stopping at a staffed desk each time.
Do members need to wait for the front desk?
No. The pass turns check-in into a self-serve tap, so members go straight in instead of queuing for a staff member to look them up.
Does it work on Android as well as iPhone?
Yes. The pass works in Apple Wallet (iPhone and Apple Watch) and Google Wallet (Android and Wear OS), so every member gets the same fast check-in.
Is the pass secure?
Yes. Each pass is bound to the member's own device and can only be read from it, so it can't be shared as a screenshot to let someone else in.
